A buyer’s guide

Choosing CA practice-management software in India.

There is no single “best” for every firm — the right choice depends on what your practice weighs most. This is an honest guide to the criteria that matter, with a fair look at the leading options, so you can decide for yourself rather than be sold to.

Written by the FirmsNest team. We make one of the products below, and we say so plainly — competitor positioning is described from public marketing, accurate as of our last review.

What to look for

Seven criteria worth weighing.

A long feature list is easy to admire and hard to use. These are the questions that tend to separate software that fits a CA practice from software that merely looks the part.

Data residency & DPDP fit

You hold clients’ PAN, Aadhaar and returns. Ask where the data — and any AI processing — actually runs. Software built for the DPDP Act 2023 keeps personal data in India and minimises what it stores.

Provable tenant isolation

On shared software, ask how one firm’s data is kept from another. The strongest answer is isolation enforced in the database and verified by an automated test — not a promise that the application code remembers.

What the AI actually does

An “AI” badge can mean very different things — from filtering tasks in plain English, to a chatbot, to an assistant that reads documents and drafts working papers. Ask where the model runs and whether your data trains it.

White-label client portal

A client-facing portal is the face your firm shows between meetings. Check whether it carries your brand and subdomain, or whether your clients see the vendor’s name.

How fees are collected

If clients pay in-product, ask who holds the money and what cut is taken. The cleanest model lets fees flow firm-to-client through your own gateway, with no aggregator in the middle.

Compliance & deadline tracking

Due dates are the heartbeat of a practice. Look for per-client compliance and deadline tracking, with reminders that go out without you chasing them.

Notifications, mobile & onboarding

Check the channels (email, SMS, WhatsApp, push), whether there is an installable or native app, and how your existing client list — say, a Tally export — gets in. Some channels need per-tenant set-up; confirm what is on by default.

A fair look at the options

Where each tool is strong, and what to weigh.

Each of these is a real product with real strengths. We lead with what each does well, then note what to check against your own priorities.

QwikCA

Where it’s strong

QwikCA offers the deepest all-in-one feature set in this set — Kanban and CRM, a credentials vault, GST-portal fetch, WhatsApp automation — and mature, native mobile apps for both staff and clients. It markets itself as “#1 for CA firms” with “5,000+ firms”.

What to weigh

Its AI filters and surfaces tasks in plain English rather than reading documents, and it does not position itself around sovereign AI, the DPDP Act or data residency. Pricing runs roughly ₹1,000–27,000/yr, with a ₹1,000 entry.

CA Manage

Where it’s strong

CA Manage is a clean, modern product with a genuine free tier and an AI assistant already shipping. It markets itself as “the OS for modern CA firms”, with a client portal, smart routing, GST-compliant auto-invoicing and WhatsApp notifications.

What to weigh

Its assistant is “powered by Gemini”, which means client data is processed by a non-India model — worth weighing if data residency matters to you. It does not position itself around the DPDP Act or in-India processing.

CAGOS

Where it’s strong

CAGOS has a polished, modern interface and markets running your practice “from one screen”. It ships recurring billing and payment links, compliance and deadline tracking, audit logs, custom workflows and role-based access, with a free tier plus paid plans.

What to weigh

Its public marketing does not show an AI assistant, nor sovereign-AI or DPDP positioning. If a document-reading assistant or in-India AI is on your list, confirm the current state directly.

FirmsNest

Where it’s strong

FirmsNest is the client-experience layer: a white-label portal at your own subdomain, BYO-Razorpay payments with no cut plus UPI, the sovereign Lipik assistant that reads documents in India, DPDP discipline with provable tenant isolation, compliance tracking, an installable PWA and Tally CSV import.

What to weigh

It is not a tax-computation or e-filing engine — you keep computing in your existing software. It runs on paid tiers with a trial rather than a free-forever plan, and WhatsApp and Web Push are available once your firm connects its channel.

Where FirmsNest fits

Built for the client experience, and for the data you hold.

If your priorities are sovereign in-India AI, DPDP discipline with provable tenant isolation, a client portal in your own brand, and collecting fees without giving up a cut, FirmsNest is built precisely around those. If you need the broadest all-in-one feature set or a free-forever tier today, another tool on this list may suit you better — and we would rather say so.

Questions

The questions buyers ask first.

What should I look for in CA practice-management software in India?

Start with data residency and DPDP fit, then how one firm’s data is isolated from another, what the AI actually does and where its model runs, whether the client portal is white-label, how fees are collected and what cut is taken, and how compliance deadlines, notifications and onboarding (such as a Tally import) are handled. Match those against how your practice actually works rather than a feature count.

Which CA practice-management software is the best?

There is no single best for every firm — it depends on what you weigh most. QwikCA is strong on breadth and native mobile apps; CA Manage on a free tier and a clean product with an AI assistant; CAGOS on a modern UI with recurring billing and deadline tracking. FirmsNest leads on sovereign in-India AI, DPDP and provable tenant isolation, a white-label client portal and no-cut payments. Choose against your own priorities.

Why does it matter where the AI model runs?

Because a CA firm holds PAN, Aadhaar and returns. An assistant whose model runs abroad processes that data outside India; one built on an in-India model under no-training terms keeps it in-country. If data residency matters to you, ask each vendor where their model runs and whether your data is used to train it.

Does FirmsNest replace my tax-computation software?

No. FirmsNest owns the client-experience layer — scoping, quotes, payments, documents, draft review and filing status. You keep computing and filing returns in Winman, Computax, KDK, or the income-tax and GST portals, wherever you do today.
